ABOUT THE ROLE

Position:

Office Administration/Client Care Coordinator

Working under the guidance of the Lead Client Care Coordinator, the Client Care Coordinator is our front-line representative to clients, new visitors and our practitioners. A strong culture of teamwork, support and desire to learn and grow keeps us connected to each other. A degree of flexibility with scheduling is important as our client needs, new client inquiries and office needs can change. A background, education, or interest in mental health and wellness is a strong asset.

KEY RESPONSIBILITIES

  • Provide reception duties for all clients and clinicians, providing responsive and caring customer service.
  • Answer all telephone calls in a prompt and professional manner
  • Schedule client appointments using Input Health electronic medical records system. · Manage email inboxe efficiently.

  • Invoice and reconcile client invoice payments.
  • Manage referral requests form the public.
  • Participate in workload sharing to support the administrative team.
  • Monitoring office supplies and Orders
  • Variety of other office and administrative duties as required
  • Organization and coordination of office, therapy rooms and waiting areas, etc.
  • Maintain the professional appearance of the office, including light cleaning and plant watering

QUALIFICATIONS

  • 2+ years of relevant professional office administration would be an asset.
  • A mature approach to customer service. Detail-oriented, organizational, and multitasking skills, initiative, and enthusiasm
  • Experience with EMR is a vital asset. JaneApp experience preferred.
  • Ability to communicate professionally.
  • Ability to handle a fast-paced environment while delivering great customer experiences in a very active situation
  • Self-starter with the ability to work independently and contribute to the team in a positive manner
  • Uses time efficiently and prioritizes appropriately with strong time-management skills
  • Reliability (To arrive on time and is ready to perform at their best)
  • Proficient in Apple programs and GSuite
  • Flexibility to work in the evenings and on weekends as needed
  • Part-time availability with evenings/weekends with the potential to increase to full-time

BASE SALARY

CA$18/hr – CA$21/hr
-plus benefits
Annual $13,2824 – 16,128 at 2 days/week.
